QRG - Applicant Screening - Adding a Roommate to a Current Resident

                

If an existing resident wants to add a new roommate to their lease, first the current residents must complete the Centerspace Leaseholder Addition Agreement.


TRANSFERS: If a roommate addition is happening within a household that will be transferring, there will be system issues if you attempt to add a roommate to an "on notice" household. Cancel the transfer, re-invite the household to RENTCafé, add the roommate, process/screen the roommate, and then reprocess the transfer.


Process Overview - 


If the roommate being added is denied for income or credit, then the new roommate will need the support of the current residents to qualify for the apartment.


If this is the case, then a supplemental application must be filled out by each current leaseholder and uploaded to their attachments on the resident profile card. The supplemental application can be found HERE under the "Forms" section. 

  • The primary resident must have a registered resident portal in order to invite a new roommate to the online application.


1. From the current resident's profile, select the General drop down, go to Lease Info, and select Roommates.


2. To add the new roommate’s information to the existing resident’s card, select the Roommates tab from the menu, and click Add Roommate.


3. Within the roommate pop-up window, fill in the co-applicant’s legal name, email, and FUTURE move-in date. In the Occupant Type drop down, select Adult: Lessee. Once you have completed the required fields, select Create New Prospect and Add as Roommate.


Note: If the co-applicant you are hoping to add is already a prospect in our system, select Add as Roommate to add the roommate to our system without creating a new prospect.


4. Select the co-applicant's move in date and ensure the green Lessee toggle is turned on. Once the date is set, select Save.


 5. The co-applicant will now be added to the Roommates section. Select Invite to Online Application to invite the co-applicant to apply.


Note: If you invited the co-applicant using the following the instructions above, then the application fee will charge automatically. If the instructions above were deviated from, then the application fee will need to be manually posted to the ledger.


6. Once the application is complete and the application fee has been paid, go to Lease Info and select the Screening tab. We will only be screening the new co-applicant, so be sure to check off under the Include in Report column. This will make it so only the co-applicant will be screened. 


Using the Run Report drop down, select Other to begin the screening process.


7. The application landing page will display the recommendation for the applicant. Click on the applicant’s name to review the file and confirm the information is accurate. Move forward with the screening recommendation. 


8. The property's RAS will draft a mid-term lease with the updated roommates following these steps: Generating a Mid-Term Lease


NOTE: Colorado leases will execute the Blue Moon lease to reflect the new residents.
