QRG – CRM IQ – Screening Process Overview
Once the application is received, the following process outlines how to screen and evaluate the application.
On the Agent Dashboard > Applicants > Needs Screening/Evaluation, you will see the applicant with the next step as “Screen.”
Another option to view the status of prospects and applicants is Move In Readiness Dashboard, filter to Applied to view the applicant.
- NOTE: To take action and begin screening, you must open the resident profile by clicking their hyperlinked name or return to the Agent Dashboard.
1. On the resident profile, it will bring you to the Applicant Workflow > Screening & Approval. However, before screening, navigate to the Application Form for review.
2. Expand each section on the Application Form to ensure all required fields are complete.
- NOTE: Review the Employer section to confirm the income is correctly entered.
3. Once the Application Form is reviewed, navigate to the Application Workflow > Screening & Approval. Expand the Screening Report Setup section.
4. Review the Type to confirm they are correctly identified as Applicant or Co-Applicant. The Consent/Photo ID Confirmed will automatically be checked following ID Verify during the application submission process. Finally, confirm that the check to Include in Report is accurate. Leave any guarantors unchecked so they are not included in the report. To screen guarantors, please follow the steps outlined on the QRG – CRM IQ – Screening with a Guarantor. For standard applications, expand Run Report and select Yardi Screening.
- NOTE: Review the Application and Screening SOP to determine which screening report to utilize for applicants.
CAUTION: Screening will begin immediately once you select the option from the Run Report.
5. A pop-up will appear confirming that screening has been submitted. The result will be Pending.
6. To view the screening report, expand the Screening Report Results and select View Report. A new tab will open on the internet browser displaying the Screening Works report or action panel.
7. If any non-personal information needs to be updated after the screening has begun, once the information has been updated and saved on the Application Form, you can select Update Results.

8. Once the screening report including Verification of Income (VOI) is complete, the Screening & Approval > Screening tab will be updated with the results.

9. The Move In Readiness Dashboard > Applicants will now reflect the applicant as Screened.
The Agent Dashboard displays the screening result. It also displays the status of any roommate applications (in this example the roommate was not screened). From this screen you can select the next step Evaluate.
10. On the resident profile, navigate to the Applicant Workflow > Screening & Approval > Evaluate Application, select the corresponding decision based on the screening result, and click Save.
11. If the evaluation is Approved you will be prompted to charge the earnest money. The only time we would select no is because the applicant needs to use a different payment method than was used for the application fees. If you select no, the deposit (and conditional approval deposit, if applicable) must be manually posted to the ledger by following the steps in this QRG - Posting a Charge.
12. A pop-up will appear confirming that the application is approved and the status of the resident will update.
13. The Move In Readiness > Approved will now display the completed steps.
The Agent Dashboard > Applicants will now display this approved applicant under Generate Lease with an updated lease status. Select Generate Lease to return to the resident profile on the next step of Manage Lease.
